Executive Assistant

Job Overview
Wakeland Housing and Development Corporation is currently seeking a highly qualified candidate to fill its Executive Assistant position. The Executive Assistant position will be based at Wakeland’s corporate office located in downtown San Diego.

The Executive Assistant will provide high-level administrative support to Wakeland’s CEO and Executive Team. This is a dynamic position that will require the ability to anticipate needs, think critically and provide a wide range of administrative and office support to aide the CEO in facilitating efficient operations of the organization. This role requires a high level of professionalism and confidentiality.     
 

Summary of Job Responsibilities
The Executive Assistant will: 
  1. Manage scheduling for CEO, prioritize inquiries and requests, and manage calendar conflicts.
  2. Work closely with CEO to provide information on upcoming commitments and responsibilities, following up appropriately.
  3. On a weekly basis, compile companywide status reports and submit to CEO.
  4. Liaison and support communications with the Board of Directors, including arranging logistics for Board meetings and events, draft agendas, collaborate presentations, distribute materials, and take minutes during Board meetings.
  5. Anticipate CEO’s needs in advance of meetings, conferences, etc., keeping the CEO updated in a timely manner.
  6. Assist in special projects, collaborate producing complex documents, reports, and presentations, and submit timely to CEO.
  7. Coordinate Executive Team meetings and retreats, and assist staff meetings and events as needed.
  8. Track and reconcile expense reports and credit card submissions, collecting receipts and support, typically on a monthly basis.
  9. When requested, help track thoughts and conversations with CEO in the form of memos.
  10. Manage sensitive matters with a high level of discretion.
  11. Execute all responsibilities with a diversity, equity, and inclusion lens.
  12. Run professional errands for CEO from time to time.
  13. When requested, arrange travel plans.
  14. Perform other duties as required and assigned

Required Skills and Experience
  • A minimum of 3 years office experience
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office, Word, Excel and Outlook
  • Highly degree of organization and self-motivation with impeccable attention to detail

Salary and Benefits
Full Time Position
$26-29 per hour, DOE
